The Problem
The Customer Success team manually managed the onboarding of every new enterprise client: data verification, account configuration, user invitation, integration with client tools, and initial training.
Average time per onboarding: 18 days. Team involved: 4 people.
The Solution
We designed an end-to-end automation pipeline with n8n as the central orchestrator:
- Capture: CRM trigger (HubSpot deal → “Closed Won”) initiates the flow.
- Validation: GPT-4o extracts and verifies contract data (PDF parsing).
- Provisioning: API calls to create workspaces, roles, and permissions.
- Communication: Custom Slack workflows for each stakeholder.
- Tracking: Real-time progress dashboard for the CSM.
The Result
The entire process now runs in 4 business days with human intervention required only at critical approval checkpoints.
